Position Overview: We are seeking a Front Desk Associate to deliver outstanding customer service and administrative support at a high-rise condominium. This position requires a professional, adaptable individual who can ensure smooth front desk operations and create a welcoming environment for residents and guests.
The Rover supports the property by managing all visitors, operations, and reception responsibilities. Cordially and professionally answering calls, assisting with various administrative functions, and working on special tasks as needed. Ensures the security and safety of the premises.
Key Responsibilities:
- Greet and assist residents, guests, and vendors in a professional and friendly manner.
- Manage front desk operations, including answering calls, responding to emails, and handling resident inquiries.
- Monitor and coordinate visitor access and security procedures.
- Assist with package handling, deliveries, and resident notifications.
- Process work orders and coordinate maintenance requests with the property management team.
- Maintain accurate records and logs of resident interactions, deliveries, and incidents.
- Enforce community rules and policies in a courteous and respectful manner.
- Provide general administrative support, including filing, data entry, and scheduling.
- Adapt quickly to different property environments and software systems.
- Escalate resident concerns or urgent matters to the appropriate personnel
- Patrol:
- Conduct regular patrols of the condominium premises on foot or using a designated rover vehicle.
- Monitor security cameras, alarms, and access control systems to detect and respond to any suspicious activities.
- Collaborate with other security personnel to coordinate efforts in maintaining a secure environment.
- Access Control:
- Verify and control access to the condominium property, ensuring only authorized individuals enter.
- Issue visitor passes and maintain accurate records of individuals entering and leaving the premises.
- Respond promptly to access control alarms and take appropriate actions.
- Emergency Response:
- Act as a first responder in case of emergencies, such as fire alarms, medical incidents, or security breaches.
- Implement emergency procedures and protocols to ensure the safety of residents and property.
- Communication:
- Maintain effective communication with residents, management, and other security personnel.
- Provide clear and concise reports on incidents, activities, and any security-related issues.
- Customer Service:
- Assist residents and visitors with inquiries and requests in a courteous and professional manner.
- Provide information on condominium policies and procedures when necessary.
- Maintenance and Reporting:
- Conduct routine inspections of common areas to identify and report maintenance issues or safety hazards.
- Report any malfunctioning security equipment and assist in its resolution.
- Collaboration:
- Work closely with property management, maintenance staff, and other relevant personnel to address security and safety concerns.
- Participate in training sessions and drills to enhance skills and preparedness.
Required Skills & Qualifications:
- Strong customer service skills with a professional and welcoming demeanor.
- Excellent communication skills (verbal and written).
- Problem-solving and troubleshooting skills to handle resident concerns efficiently.
- Experience with visitor management and access control systems preferred.
- Previous experience in hospitality, residential front desk, or property management is a plus.
- Strong multitasking and organizational skills.
