Aesthetic plastic surgery practice in the heart of the affluent Coral Gables section of Miami is seeking an experienced Medical Office Assistant (MOA) for a full-time position. The Medical Office Assistant (MOA) will be responsible for the administrative, medical, and clerical tasks required to keep a healthcare facility running efficiently. The specifics of the role can vary depending on the day, but the core function is to support medical staff and ensure a positive experience for patients.
A successful applicant will act as an information resource and liaison to staff, physician, and patients. If you have experience in a small medical practice, we encourage you to apply for this position. Experience in an aesthetic private practice with boutique care is preferred. Excellent English written and oral communication is required; basic Spanish proficiency as a second language is beneficial but not required. Duties and responsibilities
Patient and front-desk coordination:
- Greet and check in patients and visitors in a professional and friendly manner.
- Answer and manage phone system, directing calls and taking detailed messages.
- Schedule, confirm, and reschedule patient appointments, follow-ups, and procedures.
- Assist with patient intake, including helping them complete forms and recording personal and medical history.
- Address patient inquiries and resolve issues with patience and empathy.
Administrative support:
- Maintain and organize patient medical records, both electronic and paper, in compliance with HIPAA regulations.
- Assist pre-op department in preparing and clearing patient’s for surgery.
- Assist in managing incoming and outgoing emails, calls, and mail.
- Manage the upkeep of the front office and waiting areas.
- Order and maintain an inventory of office & medical supplies and other necessary materials.
- Prepare examination rooms, operating room (when needed), and patients for examinations.
- Assist the physician with follow up visits and consultations.
- Assist pre-operative team with patient surgical preparation for surgery.
- Proven experience working in a medical office, clinic, or other healthcare setting is highly desirable.
- Familiarity with medical terminology & procedures is a strong asset.
- Proficiency in electronic health record (EHR) systems and standard computer software
- Experience with phone answering systems.
- Excellent written and oral communication skills

- Medical Administrative Assistant (CMAA) or Medical Office Assistant (CMOA) is preferred

Clinical assistance:
Eligibility:
Associate's degree Required or certification as a Medical Administrative Assistant (CMAA) or Medical Office Assistant (CMOA) is preferred. Bachelor’s Degree Preferred.
Job Type: Full-time
Pay: $18-$20 per hour, based on experience
