JOB DESCRIPTION
JOB PURPOSE
The Quality Control Administrator is mainly responsible for performing receiving inspections on incoming materials and components, managing product returns (RMAs), supporting the investigation and resolution of customer complaints and managing product nonconformances. This position plays a key role in ensuring that Hairmax products are in compliance with specifications, internal procedures, and regulatory requirements while helping to drive continuous quality improvements across the organization.
PRIMARY DUTIES
Receiving Inspection:
- Conduct incoming visual, dimensional, and functional inspections on components, subassemblies, packaging materials, and finished Hairmax devices
- Verify supplier documentation including Certificates of Compliance, test reports, and labeling accuracy
- Record inspection results in compliance with Quality Management System (QMS) requirements, including the maintenance of traceable records
- Identify, tag, and quarantine nonconforming materials requiring Quality review.
Returns & RMAs:
- Process customer and distributor returns under the Hairmax RMA system
- Inspect returned products and perform functional testing to verify claimed issues
- Document findings in the RMA log and escalate systemic trends to Quality and Engineering
- Coordinate with Customer Service to communicate findings and resolutions
Customer Feedback:
- Support the customer feedback intake process; initiate and document reports for cases identified as customer complaints
- Perform investigation assessments on complaint samples and work with cross-functional teams to determine root cause and corrective actions
- Ensure all complaint records are accurate and audit-ready
Product Nonconformance Handling:
- Identify and document nonconformances discovered during inspection, production, or product returns
- Initiate Nonconformance Reports (NCRs), perform preliminary assessments, and support root cause investigations
- Work with Engineering, Quality, and Operation on disposition decisions including rework, scrap, or return to supplier
- Track and trend nonconformance data to support management reviews and risk assessments
General QA Support:
· Maintain accurate and up-to-date calibration logs for inspection tools and measurement equipment
· Participate in internal audits, CAPA activities, and external inspections (e.g., FDA, ISO audits)
· Assist with Quality System documentation and updates related to standard operating procedures, work instructions, and forms.
· Perform other duties as assigned.
QUALIFICATIONS
· Associate’s degree or technical degree in a technical or scientific field, or a combination of relevant job experience.
· Minimum 5 years of experience in a manufacturing environment preferably in medical devices
· Familiarity with FDA QSR (21 CFR Part 820), ISO 13485, and complaint/RMA handling processes
· Proficient in Microsoft Office, ERP, and QMS systems (e.g., NetSuite, Greenlight Guru, etc.)
· Experience in Class II medical devices, especially consumer health or cosmetic-related technologies
· Hands-on experience with inspection tools (e.g., calipers, micrometers, force gauges)
· Working knowledge of root cause analysis and nonconformance handling
· Experience supporting national and international regulatory registrations and product listings
WORKING CONDITIONS
· In the office environment Monday through Friday from 8am to 5pm (60-minute lunch) or 8:30am to 5pm (30-minute lunch)
· Business casual environment.
· All employees are required to wear close-toed footwear when in the warehouse.
PHYSICAL REQUIREMENTS
· May be required to do some physical activities such as lifting, bending, and reaching.
· You must be able to lift up to 25 pounds.
· Sitting stationery for long periods of time.
· Keyboarding: entering text and data into computer
· Requires working with computer systems
