President of a well-established and active real estate owner/development/management company is seeking a very enthusiastic, conscientious, well-organized and professional Executive Assistant/Legal Secretary who has the ability to work in a fast-paced environment. The ideal candidate will perform administrative duties under minimal supervision from executive management. Candidate must be well-qualified and adapt well in a small office environment.
Responsibilities Include:
· Provides a wide range of secretarial, administrative and some production support to the Ownership and other team executives
· Develop a perspective of varied company operations and assist with communication amongst all company departments, e.g. development, construction, accounting, administration.
· Manage, prioritize and maintain busy and ever-changing business calendars for ownership and executive management team. Schedules appointments and organize extensive meetings, conference/video calls and appointments;
· Create agendas and prepare meeting materials.
· Maintains and oversees department filing systems and record keeping in an efficient manner
· Coordinate complex travel arrangements, transportation, reservation, meetings, appointments, conference/video calls, etc. – ensuring flawless and seamless execution
· High-volume transcription of documents and correspondence
· Draft correspondence on behalf of ownership and executive management team.
· Interacts well with all levels of personnel including executives, attorneys, property management, construction and staff
· Collaborate and follow up with third party attorneys handling various legal matters
· Superior organizational and prioritization skills; great follow through on action items and works well in a fast-paced organization and able to pivot when the priorities shift.
· Performs clerical duties including answering of telephone, screening incoming calls, text, email, correspondence, retrieving mail, and apps etc.
Requirements:
· High school diploma with some college preferred
· 7-10 years of work experience in the Real Estate and/or Legal fields a plus
· Must be able to work independently with minimal supervision
· Must possess excellent verbal, written communication and organizational skills
· Candidate must be detail-oriented with good analytical skills
· Must have superior computer skills, including Microsoft Office (Word, Excel, Project, Access and PowerPoint)
