Our Assistant Property Manager is the Property Managers right-hand person. You are in charge of keeping resident files up-to-date, collecting rents, dealing with delinquencies, reviewing and approving statements of deposit accounting, and preparing and delivering legal and formal documents. You will also assist with the turnover process with new leases and lease renewals with existing residents.
Organizational Relationships:
Reports directly to the Property Manager. Works with Leasing Consultants and service team members.
Scope of Responsibilities:
You will be the go-to person for the performance of the leasing team and the managers right-hand person regarding the propertys operations.
Ensure applications, move-ins/move-outs, lease expirations, rent increases, renewals, accounting month end processing and other property management processes are input into the property management software in accordance with company policies and procedures.
Stay on the cutting edge of market conditions, trends, and product knowledge in the community and competitive communities; ensure same knowledge in leasing staff.
Oversee and direct efforts to maximize rental income and high occupancy through sales and marketing plans.
Cheer, lease, and mentor our leasing team. They will look to your guidance and experience related to leasing, closing, marketing, resident files, and resident retention.
Update unit availability daily to provide accurate list of units available to leasing team.
Provide clerical and phone support.
Maintain electronic resident files, ensuring completeness and accuracy of paperwork and documentation.
Review and approved deposit accounting, ensuring all are timely and comply with state law and charges are necessary and accurate as stated on the move out inspection report and company standards.
Ensure move-in appointments are completed, apartments inspected and compliant with established standards prior to move-in.
Initiate necessary evictions and legal proceedings by preparing copies and forwarding appropriate paperwork for legal evictions or other legal proceedings; ensure evictions and legal proceedings are followed through to completion.
Conduct resident move-outs in accordance with state law and company policies and procedures.
Maintain account records and transactions including NSFs, rent allowances, concessions, rent increases, and other management approved debits and credits
Ensure timely collections of rent receipts through the preparation and distribution of delinquency reports to the Property Manager.
Compensation/Benefits Structure:
- Annual bonus
- Shared renewal commission 1% of lease net value pooled and distributed equally between
entire team (maintenance and office). - New lease commission- 1% of lease net value
- On-site discount: A 20% rent concession will be given for living on-site. You will be
responsible for all utilities related to the apartment. - Insurance: Medical, dental, and vision available after 3 months of employment, the company
will cover partial of the insurance cost/premium from the insurance company. - 401K

Specific Knowledge and Skills:
Basic bookkeeping knowledge and good understanding of basic accounting practices.
Creative, motivating personality.
Superior customer service! Ability to help current and prospective residents and resolve any issues with professionalism and clear communication.
Knowledge of on-site maintenance requirements including dealing with vendors and contractors.
Ability to manage several tasks at once while remaining detailed and well organized. Strong time management, organizational skills, and good follow through with attention to detail are skills needed to be successful in this role.
Timely and accurate follow through so that our customers feel their needs are recognized and met.
Intermediate knowledge of Microsoft Office, Google Drive, and the internet.
Understanding of federal, state, and local fair housing laws. Knowledge of state law as it relates to the handling of security deposits and other resident-related fees and charges.
Excellent ability to manage and motivate others.
Ability to accept and learn from constructive criticism.
Team oriented with ability to work independently.
Strong adherence to ethical standards including, but not limited to, the ability to maintain confidentiality and fiduciary responsibility.
Ability to work a flexible schedule to include weekends, evenings, and holidays.
Ability to read, write, understand, and communicate in English, accurately perform intermediate mathematical functions, and use all on-site resident management software functions.
Education and Work Experience:
- Two years minimum experience in residential property management. Experience as a leasing consultant and the ability to close a sale is a must.
- High school diploma or equivalent; college degree is a plus but not a requirement.
Valid drivers license and current automobile insurance is required; position requires own vehicle to fulfill all of jobs functions.
