GENERAL SUMMARY

The Head of Capital Projects and Facilities is a senior leadership role responsible for the strategic planning, execution, and management of all capital projects and the comprehensive oversight of the organization's facilities portfolio. This position ensures the efficient, safe, and sustainable operation of all physical assets while delivering successful capital projects that align with the organization's strategic objectives and long-term growth. The Head of Capital Projects and Facilities will lead cross-functional teams, manage budgets, and collaborate with internal and external stakeholders to optimize the built environment and support the organization's mission.

RESPONSIBILITIES

Capital Project Management:

  • Develop and implement a comprehensive capital project strategy aligned with the organization's strategic plan and financial goals.
  • Oversee the full lifecycle of capital projects, including needs assessment, feasibility studies, planning, design, permitting, procurement, construction, commissioning, and closeout.
  • Establish and maintain robust project management processes, standards, and tools to ensure projects are delivered on time, within budget, and to the required quality.
  • Manage and mentor a team of project managers, and other project-related staff.
  • Develop and manage project budgets, schedules, and resource allocation.
  • Oversee the selection and management of external consultants, architects, engineers, contractors, and vendors.
  • Ensure compliance with all relevant building codes, regulations, and environmental standards.
  • Monitor project performance, identify risks and issues, and implement effective mitigation strategies.
  • Provide regular reports on project status, budgets, and forecasts to senior leadership.
  • Foster strong working relationships with internal stakeholders, including business units, IT, and finance.

Facilities Management:

  • Develop and implement a comprehensive facilities management strategy that ensures the efficient, safe, and sustainable operation of all organizational facilities.
  • Oversee the maintenance, repair, and improvement of buildings, grounds, utilities, and equipment.
  • Establish and manage preventative maintenance programs to minimize downtime and maximize asset lifespan.
  • Ensure compliance with all safety regulations, environmental standards, and accessibility requirements.
  • Develop and manage the facilities operating budget, including utilities, maintenance, repairs, and security.
  • Oversee the procurement and management of facility-related services and vendors.
  • Implement and manage space planning and allocation strategies to optimize space utilization.
  • Develop and implement emergency preparedness and business continuity plans for facilities.
  • Manage security systems and protocols to ensure the safety and security of personnel and assets.
  • Implement and promote sustainability initiatives within the facilities portfolio.
  • Utilize facility management software and systems to track performance, manage work orders, and analyze data.
  • Lead and manage a team of facilities managers, technicians, and support staff.

Leadership and Strategy:

  • Provide strategic leadership and direction for both the capital projects and facilities management functions.
  • Develop and implement policies, procedures, and best practices for capital project delivery and facilities management.
  • Collaborate with senior leadership to align capital project and facilities strategies with the overall organizational goals.
  • Drive continuous improvement initiatives within both functions to enhance efficiency, reduce costs, and improve service delivery.
  • Stay abreast of industry trends, technologies, and best practices in capital project management and facilities management.
  • Foster a culture of collaboration, accountability, and continuous learning within the team.

Requirements:

  • Bachelor's degree in Engineering, Architecture, Construction Management, Facilities Management, Business Administration, or a related field. A Master's degree is preferred.
  • 8+ years of progressive experience in capital project management and facilities management, with significant leadership experience.
  • Proven track record of successfully managing complex capital projects from inception to completion, on time and within budget.
  • Extensive knowledge of building systems, construction processes, codes, regulations, and sustainability principles.
  • Strong understanding of facilities management best practices, including maintenance, operations, security, and space planning.
  • Excellent leadership, communication, interpersonal, and negotiation skills.
  • Strong financial acumen and experience managing budgets and forecasting.
  • Proven ability to build and lead high-performing teams.
  • Experience working with external consultants, contractors, and vendors.
  • Proficiency in project management software and facilities management software (CMMS).
  • Relevant certifications such as PMP (Project Management Professional), CFM (Certified Facility Manager), or equivalent are highly desirable.
  • Valid driver's license and personal auto insurance limits of at least 100/300/100 carried throughout employment period.
