Position Summary:

The Reception/Legal Assistant serves as the primary point of contact for clients and visitors, playing a crucial role in creating a professional, organized, and welcoming environment for the law office. This position combines front desk reception duties with administrative and legal assistant responsibilities, supporting attorney and staff with a variety of clerical and legal tasks.

Key Responsibilities:

Reception Duties:

  • Greet and assist clients, visitors, and vendors in a professional and courteous manner
  • Answer, screen, and direct incoming calls using a multi-line phone system
  • Schedule and confirm client appointments, court dates, and meetings
  • Monitor and respond to email and voicemail inquiries
  • Maintain cleanliness and order in the reception area and conference rooms
  • Handle incoming and outgoing mail, packages, and deliveries

Administrative & Legal Support:

  • Perform data entry, document scanning, and filing (electronic and physical)
  • Draft basic legal correspondence and memos under supervision
  • Assist with the preparation of legal documents (e.g., engagement letters, client intake forms)
  • Maintain and update client files and case management systems
  • Manage calendar and deadlines for attorney and legal staff
  • Provide general office support, including ordering supplies, copying, and faxing

Required Qualifications:

  • High school diploma or equivalent; Associate degree or legal assistant certificate preferred
  • 2-3 years of experience in a legal office or administrative/receptionist role
  • Professional appearance and demeanor
  • Excellent verbal and written communication skills
  • Proficient with Microsoft Office (Word, Outlook, Excel) and familiarity with legal software
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Discretion and ability to handle confidential information

Preferred Qualifications:

  • Bilingual (English/Spanish or other language) a plus
  • Knowledge of legal terminology and processes (particularly in [e.g., estate planning, probate, guardianship])
  • Experience with Clio
