Position: Sales & Scheduling Coordinator

Location: Naples

Type: Full-Time

We are seeking a highly organized and detail-oriented Sales & Scheduling Coordinator to join our growing team. This key role will support our sales, operations, and purchasing departments by ensuring seamless coordination between client projects, installation schedules, invoicing, and collections.

Key Responsibilities:

  • Project Coordination:
    • Create and manage project folders and timelines within Microsoft Teams.
    • Collaborate with sales to ensure smooth handoff and project startup.
    • Track milestones and ensure on-time execution of multi-phase construction installations.
  • Scheduling:
    • Coordinate installation and service schedules with clients, technicians, and subcontractors.
    • Maintain and update calendars, avoiding conflicts and optimizing team availability.
    • Anticipate lead times and project needs to proactively schedule resources.
  • Invoicing & Collections:
    • Assist with preparing invoices based on project progress and contract terms.
    • Follow up on outstanding payments and support the accounting team with collections as needed.
    • Communicate effectively with clients regarding payment timelines.
  • Collaboration & Communication:
    • Serve as a liaison between sales, operations, and purchasing teams.
    • Ensure all departments are informed of schedule changes, client updates, or logistical concerns.
    • Maintain a high level of professionalism in internal and client communication.

Qualifications:

  • Strong organizational skills with the ability to multitask and meet tight deadlines.
  • High attention to detail and follow-through.
  • Proficient in Microsoft Teams, Excel, and scheduling tools.
  • Experience in construction, AV, or custom integration industries is a plus.
  • Strong interpersonal skills and the ability to work in a fast-paced team environment.
