Summary

The Trainer is responsible for developing and delivering high-quality, engaging, and effective training programs for Community Medical Group staff, including Front Office, Medical Records, Referral Coordinators, Patient Services Agents, Medical Assistants and Providers. This role requires a blend of technical expertise (EMR systems, insurance and eligibility, documentation accuracy) and soft skills (communication, professionalism, adaptability) to ensure all personnel are equipped with the necessary tools, knowledge, and skills to be successful in their role. The Trainer is also expected to have a general understanding of other roles across the organization and to actively support broader Learning and Development initiatives.

Duties and Responsibilities

  1. Develop and deliver comprehensive training sessions for all personnel, focusing on systems, policies, and procedures of the medical centers. Training should incorporate clear learning objectives and logical content flow.
  2. Design engaging training sessions that balance creativity with clarity, using appropriate visuals and clearly documented processes.
  3. Ensure content is relevant, up-to-date, and aligned with the specific needs of staff, based on their role, such as patient interaction, appointment scheduling, insurance eligibility verification, documentation, and EMR proficiency.
  4. Evaluate new hires' performance, providing constructive feedback to help them improve.
  5. Regularly monitor ongoing performance and provide coaching on key soft skills (communication, professionalism) and technical skills (system navigation, documentation practices).
  6. Encourage active participation during training sessions and provide opportunities for review and engagement through questions and interactive elements.
  7. Update training manuals, guides, and other training content to reflect current policies and technologies. Prioritize clarity and conciseness in training content to ensure it is digestible for the audience.
  8. Incorporate feedback from evaluations to continuously improve training materials and delivery methods, focusing on making the training engaging and interactive.
  9. Collaborate with department leaders and HR to ensure training programs align with broader organizational goals and patient-centric practices.
  10. Ensure that training content supports compliance with medical office policies and protocols.
  11. Assess training effectiveness based on participant feedback and performance metrics. Adjust training strategies to address any identified gaps.
  12. Support the ongoing maintenance of the Learning Management System (LMS), Learning and Development SharePoint site.
  13. Contribute to broader Learning and Development goals by supporting cross-functional training initiatives and assisting with sessions for other roles, as needed.
  14. Performs other duties as assigned.

Qualifications

Education/Experience:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, business, or related field preferred.
  • Minimum of 2 years in a medical office setting, including at least 1 year in a training or supervisory role.
  • Familiarity with front office operations, including patient scheduling, insurance verification, and medical records management.
  • Experience with EMR systems (e.g., Epic, Cerner, ECW) and front office software is essential.

Skills:

  1. Proficiency with electronic medical/health record (EMR or EHR) systems and the ability to train staff on these systems.
  2. Strong knowledge of MS Word, Excel, PowerPoint, and Outlook.
  3. Comfortable using training tools and technology (e.g., PowerPoint, Teams, video editing software for tutorials).
  4. Excellent verbal and written communication skills, with the ability to engage and motivate adult learners.
  5. Strong organizational skills with attention to detail.
  6. Ability to deliver training in a professional, patient, and adaptable manner.
  7. Proactive follow-through on training goals and a commitment to continuous improvement.
  8. Bilingual (English/Spanish)
