Reports to: Director of Development
Position Summary
The Development Coordinator is a key member of the fundraising team, responsible for executing core development functions while also contributing creatively to donor communications and special events. This role is crucial in maintaining smooth operations within the department by providing administrative, communications, and special events support.
Key Responsibilities
Administrative Support
- Maintain accurate donor records in the CRM system. Process and acknowledge all donations promptly and accurately. Generate mailing lists, donor reports, and development analytics.
- Handle daily office operations including scheduling meetings, processing purchase orders, maintaining the development calendar, managing correspondence and inquiries, and organizing departmental files.
- Support donor stewardship efforts by coordinating logistics for tours, meetings, and cultivation events.
- Assist with the preparation of presentations, fundraising campaign materials, reports, and outreach documents.
- Coordinate development committee meetings: manage RSVPs, distribute agendas and materials, and record and circulate minutes.
- Process donations, naming agreements, and pledges. Prepare data entry and acknowledgment documents, and coordinate donor agreements and relevant paperwork.
- Assist with donor research and prospect tracking.
- Support grant preparation as needed.
- Reconcile donation records with the finance department to ensure accuracy.
- Participate in department strategy meetings and contribute ideas.
Donor Communications
- Act as liaison for development public relations, including producing the donor newsletter, editing press releases, managing deadlines, and maintaining a photo library.
- Support campaign content creation, including proposal writing, appeal letters, committee correspondence, and collateral for donor outreach.
Special Events Support
- Assist in planning donor appreciation events, receptions, and development-related activities.
- Provide hands-on logistics for key events, especially the Gala, including managing RSVPs, guest lists, event materials, and run-of-show documents.
- Coordinate with vendors and facilities teams; assist with event setup, execution, and breakdown.
Qualifications
Required:
- Bachelor’s degree or equivalent experience in nonprofit management, communications, or related field.
- 1–3 years of experience in fundraising, development, or event coordination.
- Excellent written and verbal communication.
- Strong organizational skills with exceptional attention to detail. Proficiency in Microsoft Office; experience with CRM systems.
- Ability to work independently and collaboratively in a fast-paced environment, while maintaining composure under pressure.
- Sound judgment and integrity in handling confidential information professionally.
Preferred:
- Experience working with volunteers, board members, or committees.
Work Environment & Expectations
- Occasional evening or weekend hours required for events.
- Must be able to lift at least 50lbs.
