We are seeking an experienced and highly organized Medical Office Director of Operations to oversee the daily operations of our growing functional and regenerative medicine clinic in Miami. Our practice blends the principles of functional medicine, regenerative therapies, and holistic chiropractic care to help patients restore long-term health and vitality.

The ideal candidate will be a systems-driven, growth-focused leader who thrives in a multidisciplinary environment, ensuring operational excellence, clinical coordination, and an exceptional patient experience. A key priority for this role will be implementing and optimizing organizational systems designed to support scaling, sustainable long-term growth, and expansion of the practice.

A functional and regenerative clinic is a healthcare practice that combines root-cause medicine with the body’s natural healing mechanisms to treat patients in a restorative way.

Functional Medicine

  • Focuses on addressing the root causes of disease, not just managing symptoms.
  • Uses advanced diagnostics and lab testing (blood, urine, GI mapping, DNA swabs, cortisol testing, etc.) to assess genetics, environment, and lifestyle factors.
  • Emphasizes nutrition, gut health, hormone balance, detoxification, stress management, and lifestyle interventions to restore long-term wellness.

Regenerative Medicine

  • Leverages the body’s own ability to repair, replace, and regenerate tissues and organs.
  • Incorporates chiropractic care for spine and musculoskeletal health.
  • Offers decompression therapy to relieve pressure on spinal discs and nerves.
  • Treatments may include stem cell therapy, platelet-rich plasma (PRP), exosomes, peptides, ozone therapy, and other biologics.
  • Goal: to restore structure and function rather than rely solely on drugs or surgery.


Key Responsibilities

Operational Leadership

  • Develop, implement, and maintain organizational management systems to support clinic growth.
  • Oversee a streamlined scheduling system integrated with the EMR, ensuring automation and efficiency.
  • Manage all front desk operations: patient intake, billing, scheduling, insurance verification, and follow-ups.
  • Optimize consultation workflows and ensure staff adherence to best practices.
  • Implement systems that drive scalability, efficiency, and long-term organizational sustainability, ensuring the clinic is structured for continued expansion.

Patient Flow & Experience

  • Coordinate the 3-Phase Clinical Consultation Flow:
  1. Initial Consultation – collection of advanced diagnostics.
  2. Supplement/Protocol Consultation – explanation of nutrition, supplementation, and lifestyle plans.
  3. Follow-Through System – patient accountability, education, and ongoing communication.
  • Ensure patients receive a consistent, supportive, and professional experience from intake through long-term follow-up.
  • Develop systems to expand patient outreach and engagement through educational events, workshops, and digital platforms.

Staff, Provider & Growth Coordination

  • Recruit, train, and supervise administrative staff.
  • Work closely with Nurse Practitioners (NPs), chiropractors, and other providers to ensure consistent delivery of care.
  • Manage vendor and laboratory relationships for diagnostics and regenerative therapies.
  • Identify, recruit, and integrate additional providers and specialists to expand service offerings.
  • Collaborate with marketing teams to drive growth through social media, digital campaigns, referral systems, and brand expansion.
  • Establish training and performance dashboards to ensure staff productivity and minimize turnover while supporting business development efforts.

Systems & Compliance

  • Ensure proven systems are in place for scheduling, EMR integration, intake, and follow-up.
  • Maintain compliance with HIPAA and healthcare regulations.
  • Track and report operational and financial performance metrics.
  • Develop KPIs, growth dashboards, and quarterly review processes to ensure consistent scaling benchmarks and expansion targets are achieved.
