Job Title: Student Services Officer
Department: Student Services
Reports To: Enrollment Manager
Position Overview:
The Student Services Officer will serve as a front-line representative for Mech Tech, providing comprehensive administrative support across all student-facing departments including Admissions, Registrar, Finance, Financial Aid, and Career Services. This position ensures students receive timely, accurate, and courteous assistance while performing key clerical and coordination tasks that contribute to the effective functioning of the institution’s support services.
Key Responsibilities:
1. Student Engagement & Office Support
- Welcome and assist students, prospective students, and visitors with professionalism and warmth.
- Provide general guidance on institutional processes related to enrollment, registration, payment, aid, and career services.
- Ensure students are referred or connected promptly to the appropriate department for more in-depth assistance.
2. Administrative & Operational Support
- Perform routine office tasks including answering calls, managing emails, maintaining logs, filing, scanning, and preparing departmental materials.
- Support data entry tasks related to student records, appointment logs, and office reports for various Student Services departments.
- Monitor and maintain appointment calendars for Registrar, Financial Aid, Career Services, and Admissions as needed.
3. Interdepartmental Coordination
- Work closely with each department to support follow-up processes, ensure document collection, and assist in organizing student records.
- Serve as a liaison among departments during high-volume periods such as enrollment, orientation, and graduation processing.
- Assist in coordinating student-facing events such as orientations, workshops, or advisement sessions.
4. Customer Service and Communication
- Handle inquiries through phone, in person, or email, and provide timely information on student services policies and deadlines.
- Provide reminders and follow-ups to students on missing documents, appointments, or payment arrangements.
- Maintain a high level of confidentiality and professionalism when managing student information.
Qualifications:
- High school diploma or equivalent required; Associate’s degree preferred.
- Minimum of one year of experience in a customer service or administrative support role, preferably in an educational setting.
- Strong organizational and communication skills with attention to detail.
- Ability to multitask and work collaboratively in a student-centered environment.
- Proficiency in Microsoft Office Suite and student information systems is preferred.
