Position Overview
The Assistant Project Cost Analyst will track & analyze maintenance project budgets, costs and distribute various reports related to project financial performance and cash flow. The Assistant Project Cost Analyst is the focal point for all current project costing information.
Specific Accountabilities
- Assist with project budget collection, compilation, analysis, and proper reporting to various business units.
- Finalize and/or seek final approval of project budget with the Senior Director of Programs and/or Chief Engineer at the start of maintenance projects.
- Throughout the cycle of the maintenance project collect cost estimates of non-routine labor, parts and other ancillary costs/expenses that make up the total cost of the project. Ensure communication with project leaders is concise and reported in a timely manner using the maintenance cost tracker workbook.
- Periodically review maintenance project budgets with the Senior Director of Programs and/or Chief Engineer, in addition to, project leaders regarding cost over-runs so corrective actions may be taken.
- Work with project leaders to identify key project milestones that are suitable for tracking for reporting the senior management.
- Prepare and audit project budgets and cash flow report on a weekly basis ensuring that vendor payments are known and recorded in the forecast with the Accounting Department.
- Generate weekly and monthly financial reports for each project, including but not limited to an Actual/Forecast Budget Report and a Cash Flow Report.
- Revise project cost estimate daily/weekly to update forecasted budget.
- Attend project planning meetings, kick-off meetings and status meetings to ensure that project costing issues are discussed in a timely and appropriate manner.
- Audit Quantum Component Control work orders for data entry accuracy, assist the Senior Director of Programs with periodically invoicing external work orders, and reconciling internal work orders.
- Maintain electronic and hard copy files for maintenance project budgets, reports, and other cost related documents within established company records.
- At the time of project completion, record final/anticipated final costs for financial cost accruals for the Finance Department.
- Assist in documenting and updating maintenance cost budget and cost recording procedures and continuously evaluate improving processes and revision of procedures as required with the Senior Director of Programs.
Qualifications
- Education and/or Experience: Bachelor's degree (BA) in Business Administration, Aeronautical Science, Engineering, Accounting/Finance, Economics, Project/Construction Management, or Data Analytics from four-year college or university, or two (2) to Five (5) years of experience in project cost control and reporting with relevant experience and experience to project accounting, risk analysis and management, contracts/commercial documentation understanding and administration.
- Language Skills: Ability to read, analyze, and interpret maintenance contracts, budgets, company processes, and procedures. Ability to write reports, emails correspondence to key stakeholders and/or vendors (if required). Ability to effectively present information and respond to questions from senior management, Accounting and Finance Department, and project leaders.
- Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference, fractions, percentages, ratios, and proportions to practical situations.
- Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Computer Skills: Fluent in MS Office applications (Outlook, PowerPoint, Visio, Acrobat Writer, Excel, etc.).
- Knowledge of database, project management, graphics, technical diagrams, flow charts, etc.
- Demonstrated skills in prioritization and time management to ensure that the project reports are timely compiled, and workload is managed effectively within agreed timeframes and deadlines.
- Demonstrated high level of analytical skills to perform analysis of project costs.
- Demonstrated high level of coordination skills to gather cost data from project leaders and others.
- Demonstrated problem solving skills, approaching problems and issues with well-thought out and creative solutions and using initiative to review contingencies.
- Demonstrated well-developed communication and interpersonal skills, both written and verbal, including the confidence and ability to present information effectively to any audience.
