We are looking for a Project Control Coordinator (PCC) who will be responsible for supporting the execution of tasks related to both ongoing projects, daily operations, and maintenance activities. This role will assist in the administration of project-related functions, including financial tracking, vendor coordination, task management, timekeeping, and resource allocation. The PCC will work under the direction of the Project Manager, Program Manager, Quality Control Manager, and/or corporate leadership to ensure smooth and efficient project execution.
- Coordinate the ordering and inventory management of supplies and materials for operations and maintenance activities
- Ensure accurate execution and data entry of Work Orders within the Computerized Maintenance Management System (CMMS)
- Support the development and implementation of new operational plans and procedures in collaboration with the management team
- Maintain and organize documentation, reports, and project management tools
- Oversee purchasing activities while tracking and maintaining accurate inventory records
- Communicate with and provide site access to third-party vendors as required
- Assist management in ensuring contract performance aligns with the Performance Work Statement (PWS)
- Conduct market research, engage with vendors, request and evaluate bids, and verify compliance of deliverables
- Support project planning and execution from initiation to completion, including monitoring timelines, deliverables, and milestones
- Schedule and facilitate meetings, prepare agendas, and record meeting minutes
- Serve as a liaison between team members and stakeholders, providing updates and collecting necessary information
- Track project tasks to ensure deadlines are met and contract deliverables remain on schedule
- Provide administrative support and coordinate resources for project teams
- Identify potential project risks or delays and escalate issues to the project manager as appropriate.

Requirements:
- Minimum of five (5) years of experience in general administrative support or project coordination roles.
- Proficient in basic mathematics and accounting functions, including budget planning and preparation of purchase orders.
- Strong organizational and time management skills with the ability to prioritize and adapt in a dynamic environment.
- Excellent verbal and written communication skills with a strong emphasis on customer service.
- Proven experience in data tracking, schedule coordination, and providing administrative support.
- Proficient in Microsoft Office Suite, including Excel, SharePoint, Word, and Outlook; familiarity with Maximo is a plus.
- Skilled in building and maintaining effective working relationships with staff, management, stakeholders, and vendors in a professional and diplomatic manner.
- Demonstrated ability to resolve conflicts, manage competing priorities, and respond to changing requirements.
- Strong decision-making skills with the ability to exercise sound judgment and take initiative.
- Effective research, analytical, and problem-solving capabilities.
- Able to perform well under pressure and consistently meet deadlines.
Additional Qualifying Factors
As a condition of employment, it may be required to pass a pre-employment drug screening, as well as have acceptable reference and background check results.
Security Clearance
It is mandatory that all Contractor personnel working onsite at federal facilities meet federal government security clearance standards. ICMS shall submit security clearance information for each employee, as required by current government identification card application procedures and future requirements as applicable.
Location – Miami, FL
Job Type - Exempt, Full Time Onsite Position (Monday – Friday)
Telecommute will not be considered for this position. Work schedules are subject to change based on client and company needs. This person will be on call regularly and available for and to respond to emergencies off shift.
Salary Range: $65,000-$70,000.
