Job Summary:

The Project Facilitator ensures a positive customer experience and successful project delivery—on time and within budget. This role coordinates projects from initial customer request through installation, documentation, and final invoicing. The Project Facilitator manages internal teams, maintains project documentation, monitors schedules and budgets, and serves as the primary point of contact for customers to ensure clarity, alignment, and satisfaction throughout the project lifecycle.

Minimum Qualifications:

Education

High school Diploma or GED preferred

Experience

Minimum 2 years of proven experience in project facilitation, coordination, or management preferred.

Strong organizational and time-management skills with attention to detail.

Ability to manage multiple projects simultaneously and prioritize effectively.

Excellent communication and interpersonal skills for interacting with clients, technicians, and internal teams.

Familiarity with project management tools and systems (e.g., Service Ledger, SharePoint, simPRO) and MS Office applications.

Technical knowledge or experience in installations such as low-voltage cabling, sound systems, cameras, timers, and drive-thru communication systems is a plus.

Ability to be a self starter and provide feedback to team members.

Customer-focused mindset with a commitment to delivering a positive experience.

Licensure, Certification, and/or Registration

IT, Trade, Manufacture or Product Certifications are a plus

Job Duties

Essential Responsibilities

  • Receive and document new installation requests and customer/site information.
  • Add new sites to the open project list and send welcome packages with questionnaires and preferred installation dates.
  • Track project progress, maintain regular customer communication, and confirm site readiness. Record updates and notes in simPRO work order.
  • Schedule installations (minimum 3 days in advance) and add them to the dispatch board.
  • Facilitate daily project meetings to share updates and align departments.
  • Provide installation crews with the necessary documentation and instructions.
  • Document scope changes and obtain written customer approval for additional charges.
  • Verify completed work, update project notes, collect photos/documentation, and confirm revisit needs.
  • Manage invoicing for completed projects and separate invoicing for change orders.
  • Apply project management processes, including initiation, planning, execution, monitoring, and closure.
  • Maintain accurate physical and digital documentation, including work orders, project notes, and SharePoint updates.
  • Support the training of skilled technicians as needed.
  • Utilize tools like Outlook reminders to track tasks, calls, and deadlines.
