POSITION SUMMARY:

The Crew Scheduler is responsible for ensuring each scheduled flight is legally covered with the appropriate crew complement. A Crew Scheduler monitors and amends crew schedules by adhering to FARs, policies and procedures, and the Collective Bargaining Agreements. Coordinate and schedule all flight crews for flights in a cost-effective manner. Attain an excellent understanding and operational skill at utilizing the crew scheduling software. Obtain travel and hotel accommodations for flight crews when applicable, prepare itineraries, and compile reports of transactions.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned from time to time.

• Maintains all day-to-day processes to utilize Pilot resources using cost effective strategies and adherence to all Collective Bargaining Agreements (CBA) and Federal Aviation Regulations (FAR).

• Maintains a working knowledge of applicable CBA and FAR work rules.

• Audit the Flight Movement Control in Crew Scheduling software to check for any open trips.

• Monitor and validate crew legalities in Crew Scheduling software.

• Update the Crewing Outlook report, open trips list and reserves report.

• Build, adjust Crew schedules and update Crew scheduling software with crew assignments for posted open flights.

• Monitors, research, and resolves Crew Scheduling Software driven alerts/flags to ensure pilots are qualified to operate on flights.

• Create and update the Crew Scheduling Presentation Slides for the morning Daily Operations Meeting.

• Create specific customer operations report and send it to the OCC Duty Manager twice a day.

• Communicates with the Training department to ensure that the Crew Qualifications data is up to date in the Crew Scheduling software.

• Assist Crew Training in providing a list of Reserve Crewmembers to utilize for any ground training related assignments.

• Work schedule changes and projections from Load Control as they occur. If changes occur after hours and involve re-routes that affect travel related items, set up travel and notify crew travel via email of all changes.

• Responsible for prompt & professional telephone answering of crew scheduling lines.

• Serves as a on duty resource for crew members to solve scheduling concerns.

• Set up ground transportation when required in the event, this is needed after hours, and the crew travel department is not available.

• Assist the OCC Duty Manager on building flights in the event they are not able to.

• Assist Crew payroll with Crew Allowance report discrepancies.

• Assist HR with notifying Crew members when they are summoned for random Drug and Alcohol tests.

• Assists the Crew Records Department by updating the Crew members Passports in the Crew Scheduling system and in eApis.

• Replace crewmembers when needed due to sickness, vacations, and legality conflicts.

• Review roster handoff with Crew Planning through the crew bidding process.

• After Crew member final publication, Crew Schedulers will update vacation, sick, LOA, and unavailable-to-fly dates in crew scheduling software.

• Process jump-seat rider requests (Internal employees and external Pilots).

• Update Loadmasters schedule upon request by the Loadmasters Manager.

• List Mechanics on flights upon request by Maintenance Control.

• Verify that the automatic Gendec has been generated and transmitted via Crew Scheduling Software

• Process and transmit APIS for all international flights.

• Request Catering for all flight operations contracts.

• Audit catering for the next 72 hours and add catering memos in AIMS.

• Audit APIS for the next 24 hours and add transmittal memos in AIMS.

• Responsible for reassigning and covering excess work demands, Crew Scheduling Coordinator absences due to sickness and vacations.

• Additional duties delegated by the Manager of Crew Scheduling.

• Process jump-seat rider requests (Internal employees and external Pilots).

• Responsible for filling in for excess work demands, absences due to sickness, vacations, etc. to cover the department.

• Maintain proper communication between shifts via shift turnover logs.

• Additional duties delegated by Manager of Crew Scheduling and/or designee.


PERFORMANCE STANDARDS/MEASUREMENTS.

• Achieve maximum efficiency of crews without risking the safety of the aircraft or crews.

• Maintain a high degree of proficiency utilizing the crew scheduling software.

• Maintain a rating of “good” or better at all times on semi-annual Performance Evaluations.

• Maintain a satisfactory attendance record within acceptable guidelines as outlined in the company employee manual.

• Consistently follows Company policies and procedures (including governmental and safety) and departmental Standard Operating Procedures.

• Maintain established work standards consistent with quantity and quality on a consistent basis by process or function.


Minimum Qualifications, Skills, Education and Experience:

• High School Diploma, GED, or equivalent


Preferred Qualifications and Skills:

• Current Airline Crew Scheduling or Dispatch operational experience

• Knowledge of software AIMS preferred, but not required

• Must be familiar with PC applications, type and use a keyboard

• Knowledge of FAR (Federal Aviation Regulations) 121 operations

• Ability to identify and resolve crew legality/scheduling conflicts

• Ability to multi-task and perform under irregular operating conditions

• Possess proficiency in general Microsoft Office software.


Supervisory Responsibilities:

This position will not have direct reports but may require training for new team members.


Language:

Fluency in English is essential. Bilingual proficiency in Spanish is considered an asset.


Physical Activities and Requirements of the Position:

Sedentary work; sitting most of the time. While performing the duties of this job, the employee frequently works in an office environment. Minimal physical requirements with approximately 30 lbs. or less lifting needs.
