We are looking for a Strategic Project Manager to help bring this dream to life as we grow our footprint. This position will provide high-level administrative, organizational, and strategic support to the President. The role goes beyond traditional administrative functions by driving operational efficiency through effective meeting coordination, action plan execution, and strategic follow-ups. The Strategic Project Manager will be responsible for transcribing meetings into clear action plans, ensuring communications are directed to the appropriate personnel, monitoring progress, and reporting updates back to the President.

Duties and Responsibilities
Strategic Meeting Coordination & Action Execution
- Prepare and manage meeting agendas: Collaborate with the President to define clear objectives, key discussion points, and desired outcomes.
- Transcribe meetings into action plans: Take detailed notes, capturing key decisions, responsibilities, and deadlines. Transform discussions into clear, actionable steps.
- Ensure accountability: Distribute action plans to the relevant personnel with clear instructions and timelines.
- Follow up on deliverables: Monitor the status of action items and ensure timely completion.
- Report back to the President: Provide concise, structured updates on the progress of action plans, highlighting risks, delays, and achievements.
Executive and Administrative Support
- Prepare executive-level materials: Draft and edit reports, presentations, and briefings, ensuring accuracy and strategic alignment.
- Optimize workflow: Identify opportunities to streamline administrative processes and improve efficiency.
- Schedule Management: Assist President in the schedule and priority for appointments, meetings, and travel, ensuring optimal time management.
Project and Initiative Management
- Support special projects: Assist in the planning and execution of projects and initiatives, ensuring alignment with company objectives.
- Track progress and milestones: Monitor deadlines and deliverables, identifying potential risks or delays.
- Liaise with external partners: Handle communication with external stakeholders, vendors, and partners as required.
- Prepare status reports: Summarize project updates and provide the President with clear, actionable insights.
Confidentiality and Discretion
- Manage sensitive information: Handle confidential business, personnel, and financial data with the highest level of discretion.
- Protect corporate interests: Ensure privacy and compliance with company policies at all times.
Required Skills and Abilities
- Bilingual proficiency: Fluent in English and Spanish (written and verbal).
- Strong strategic thinking: Ability to translate discussions into actionable plans with clear deliverables.
- Excellent organizational skills: Proven capacity to manage multiple priorities, deadlines, and follow-ups simultaneously.
- Superior communication skills: Clear, concise, and professional communication with internal and external stakeholders.
- Tech-savvy: Advanced proficiency in MS Office 365 (Excel, PowerPoint, Outlook, Word), with familiarity in SharePoint and OneDrive preferred. Skilled in using AI tools and modern transcribing platforms to enhance efficiency and accuracy.
- Detail-oriented: Exceptional attention to detail to ensure accuracy in reports, meeting notes, and action plans.
- Reliable and proactive: Self-motivated with the ability to anticipate needs and take initiative.
- Transportation flexibility: Reliable transportation for occasional office errands.
Education and Experience
- Bachelors degree in Administration, Business, or a related field. Finance knowledge or experience is required.
- 5+ years of experience in a senior administrative or strategic support role, preferably supporting executive leadership in a fast-paced environment.
