We are seeking an experienced and organized Front Desk Manager to oversee front office operations, lead front desk staff, and ensure an exceptional first impression for all clients, visitors, and team members. The ideal candidate will have a strong background in customer service, administrative coordination, and team supervision, with the ability to handle high-volume environments efficiently and professionally.
Key Responsibilities:

Oversee and manage daily front desk operations, ensuring a smooth and professional environment.

Train, supervise, and schedule front desk staff; provide performance feedback and support.

Ensure excellent customer service is provided to guests, patients, clients, and staff.

Develop and implement front desk protocols, policies, and procedures.

Handle escalated concerns, complaints, or requests with professionalism and efficiency.

Maintain a clean, organized, and welcoming reception area.

Monitor and manage appointment scheduling systems, check-ins/outs, and general inquiries.

Coordinate communication between front desk and other departments to support overall office operations.

Ensure compliance with confidentiality standards, safety procedures, and operational policies.

Manage supplies and inventory for front office needs.

Prepare and maintain reports, staff schedules, and other administrative documentation as required.
Qualifications:

High school diploma or equivalent required; associate or bachelor’s degree preferred.

Minimum of 3 years of experience in front desk or administrative roles, with at least 1 year in a supervisory or managerial position.

Excellent verbal and written communication skills.

Strong leadership and team-building capabilities.

Proficient in office software (e.g., Microsoft Office Suite) and scheduling systems (e.g., EMR, PMS, or CRM tools depending on industry).

Ability to multitask, prioritize, and maintain professionalism under pressure.

Detail-oriented with strong organizational and problem-solving skills.

Customer service mindset and conflict resolution abilities.
Preferred Experience:

Previous experience in a medical, hospitality, or corporate setting.

Familiarity with HIPAA or data privacy regulations, if applicable.

Bilingual or multilingual skills are a plus.
