Requirements & Qualifications
- Bachelors degree or equivalent in a Technical or related field.
- 35 years of experience in Data Entry, Estate Regulations, or Business Incorporation Services.
- Proven leadership experience (minimum 2 years).
- Strong computer and database knowledge.
- Experience working with proprietary systems or internal databases (such asLeafnet) is a plus.
- Bilingual: English and Spanish (required).
- Excellent analytical, organizational, and problem-solving skills.
- High attention to detail and accuracy.
- Ability to multitask, prioritize, and work independently.
- Customer serviceoriented and proactive attitude.
- Proficiency in Microsoft Office and Microsoft Teams environments.
Job Purpose
The Data Department Manager oversees all data-related operations within theTaxLeaf corporate office, ensuring accurate and timely processing of client services and orders. This role usesLeafnet (TaxLeafs proprietary software)as the primary management tool and serves as a key link between corporate, franchisees, and licensees, maintaining compliance, data integrity, and customer satisfaction.
Key Responsibilities
- Department Oversight:Manage day-to-day operations of the data department, supervising a team of three and ensuring all workflows run efficiently.
- Process Improvement:Evaluate, develop, and implement procedures to increase accuracy, speed, and quality of data services.
- Data Management:Oversee all data entry, order processing, and client record maintenance using Leafnet and related systems.
- Compliance & Security:Ensure adherence to company policies, document control standards, and data security regulations.
- Reporting:Prepare and submit weekly performance reports to the General Manager and CEO, including order summaries and KPIs.
- Cross-Department Coordination:Maintain strong communication with sales, accounting, and franchise/licensee teams to resolve inconsistencies and improve service flow.
- Customer Service:Provide responsive and professional support to franchisees and licensees, managing inquiries and urgent requests effectively.
- System Support:Coordinate updates, troubleshooting, and user feedback for data management systems in collaboration with IT and management.
- Training & Development:Mentor and train team members, ensuring consistency in procedures and professional growth.
- Documentation & Recordkeeping:Maintain accurate files, digital records, and logs; manage scanning, faxing, and emailing tasks as needed.
- Special Projects:Assist leadership with projects or new initiatives within the data department or broader organization.

- 10%of overdue order processing
- 100%of claims resolved out of total received claims
Work Schedule
Monday to Friday
9:00 a.m. 5:00 p.m.
Willingness to Travel:Up to twice per year
