Job Description
The Project Coordinator keeps engineering projects organized, on-schedule, and on-budget. You’ll support Project Managers with scheduling, document control, permitting logistics, subconsultant/vendor coordination, and client communications—freeing technical staff to focus on design and fieldwork.
Project Scheduling & Logistics
- Assist in building and maintain task-level schedules (milestones, dependencies, critical path).
- Coordinate and maintain resource management data.
Scope, Budget, and Change Control
- Create Work Breakdown Structures (WBS), track burn rates, and update ETC/EAC with PMs.
- Prepare and route change orders (scope/time/fee), contract mods, and addenda; maintain version control.
Document Control & QA
- Manage submittals, RFIs, transmittals, and drawing issue logs.
- Enforce naming conventions and checklists; assemble deliverable packages and QC record sheets.
Compliance Support
- Ensure contract compliance.
Subconsultants & Procurement
- Assist with SOWs, POs, COIs, and rate sheets; monitor NTPs and deliverable dates.
- Coordinate survey, geotech, environmental, and specialty vendors; reconcile invoices vs. progress.
Client & Internal Communications
- Draft status updates, meeting minutes, and monthly progress reports; maintain action registers and risk logs.
- Support proposal inputs (project sheets, resumes, schedules) and closeout (as-builts, lessons learned).
Invoicing Support
- Pre-bill review (time/expense), markup notes, missing time follow-ups; track A/R and client approvals.
Required Qualifications
- 2–5 years in A/E/C or construction project coordination (consulting engineering preferred).
- Working knowledge of project lifecycles, submittals, change orders, and basic contract terms.
- Strong organization, follow-through, and written communication.
Preferred Qualifications
- Deltek (Vantagepoint/Vision/Ajera) or similar ERP exposure (time, budgets, billing).
- Familiarity with CAD/GIS file handling (AutoCAD/Civil 3D/ArcGIS).
