At Gastroenterology Specialists, we are looking for a motivated and dependable individual to join our team. The ideal candidate is collaborative, adaptable, eager to be cross-trained, as well as capable of managing time efficiently with minimal supervision. This is a check-out and phone reception position. This position plays a crucial role in providing exceptional customer service to our patients, handling check-out procedures, and assisting with phone inquiries.

Key Responsibilities:

  • Greet patients as they check out after procedures or office appointments.
  • Prepare any necessary lab or imaging orders.
  • Scan and organize patient documents.
  • Answer phone calls and direct inquiries to the appropriate staff members.
  • Schedule, reschedule, or cancel appointments as needed.
  • Provide patients with relevant forms and proper instructions for upcoming visits, tests, or procedures.
  • Ensure patient records are updated with accurate information.
  • Respond to patient inquiries in a friendly and compassionate manner.
  • Address patient concerns or complaints, escalating issues to the office manager or physician when necessary.
  • Maintain confidentiality and ensure compliance with HIPAA regulations at all times.
  • Work collaboratively with physicians, medical assistants, and other office staff to ensure smooth office operations and a positive patient experience.
  • Miscellaneous tasks as needed.

Requirements:

  • Ability to work in a fast paced environment.
  • Willingness and ability to be cross-trained.
  • Strong interpersonal skills with the ability to interact effectively with patients of diverse backgrounds.
  • Ability to manage multiple tasks efficiently while maintaining attention to detail.
  • A compassionate demeanor with a focus on providing excellent patient care and support.
  • Demonstrated passion for helping others and making a positive impact.
  • Able to work Monday - Friday from 7:30am - 4:00pm with a 30-minute unpaid lunch each day.

Not Required, but Preferred:

  • Prior experience in a similar position.
  • Previous experience in a medical office.
  • Knowledge of medical terminology.
  • Familiarity with patient care processes in office or outpatient settings.
  • Proficiency in using office equipment and software applications relevant to the role, such as ECW and Microsoft Teams is a plus.
