The Lease Administrator will be responsible for managing commercial retail leases across a national portfolio. This role involves abstracting, validating, and maintaining lease data within Yardi, supporting monthly billing processes, tracking critical dates, and ensuring accurate and timely reporting for asset management, accounting, and investor relations.

The ideal candidate will have hands-on experience with the Yardi Voyager Commercial module and a strong attention to detail in lease administration and data integrity.

Duties and Responsibilities

  • Abstract lease terms including rent schedules, co-tenancy clauses, percentage rent, renewal options, kick-outs, and CAM provisions.
  • Enter lease data into Yardi Voyager Commercial Module with accuracy and attention to retail-specific deal structures.
  • Maintain up-to-date lease records, rent escalations, and tenant charges.
  • Validate Yardi lease profiles against executed documents and amendments.
  • Perform periodic audits of rent rolls, CAM pools, and critical dates to ensure data integrity.
  • Liaise with internal Yardi support or external consultants for configuration issues and enhancements.
  • Support Finance in generating and reviewing rent rolls, percentage rent billing, and CAM reconciliations.
  • Track and update recurring charges, promotional rents, abatements, and tenant-specific recovery caps/floors.
  • Assist in the review of annual CAM estimates and reconciliations.
  • Generate and distribute lease abstract reports, rent rolls, and other data reports from Yardi.
  • Support Asset Managers, Legal, and Finance teams with lease data interpretation and documentation.
  • Monitor and communicate critical dates such as lease expirations, renewal options, and co-tenancy failures.

Qualifications:

  • Bachelor degree preferred
  • 3–5 years of commercial lease administration experience, preferably in retail real estate.
  • Proficiency in Yardi Voyager Commercial Module (lease setup, rent schedules, CAM billing, % rent).
  • Strong understanding of retail lease terms, CAM recovery structures, and co-tenancy/percentage rent clauses.
  • Exceptional attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and document management systems
  • Experience supporting a national retail portfolio
  • Knowledge of GAAP rent recognition and lease accounting (ASC 842 is a plus).
  • Familiarity with legal lease language and interpreting complex deal terms.
