Service Writer – Motorsports & Marine
Position Summary
The Service Writer is responsible for overseeing all service-related activities within the Powersports Service Department. This role serves as the primary point of contact between customers, service technicians, and the Parts Department, ensuring a smooth, transparent, and efficient service experience from intake through delivery.
In addition to customer-facing responsibilities, the Service Writer supports new unit arrivals, assembly coordination, unit processing for sale, safety inspections, and daily workflow planning to maximize productivity and customer satisfaction.
Key Responsibilities
- Provide outstanding customer service for all powersports and marine service customers
- Greet customers, write accurate service repair orders, document customer concerns, and explain recommended repairs
- Maintain honest, transparent communication to build long-term customer relationships
- Estimate repair costs and completion timelines and keep customers informed throughout the service process
- Schedule service appointments and coordinate workflow with service technicians
- Communicate with the Parts Department to ensure correct parts availability for service repairs
- Notify customers when units are ready for pickup and present completed service work to close repair orders
- Maintain a clean, organized service counter and service areas
- Translate customer concerns into clear, detailed repair terminology to assist technicians with diagnosis
- Track pre-owned and new unit inventory requiring service, assembly, or safety checks prior to sale
- Assist with receiving new inventory and coordinating unit setup and processing
- Test-ride units when necessary to verify repairs meet safety and quality standards
- Anticipate daily workload and plan service department tasks accordingly
- Help build a loyal service customer base while managing costs and maintaining positive team relationships
- Focus on increasing billable hours and minimizing non-productive technician time
- Plan and prioritize service department tasks at the end of each workday for the following day
Requirements
- Must understand and adhere to all company standards and guidelines outlined in the Employee Handbook
- Minimum 5 years of experience in a powersports, mechanical, parts, or service-related industry
- Strong understanding of parts and service operations in a powersports environment
- Ability to communicate effectively with service technicians and translate technical information for customers
- Working knowledge of current powersports units, accessories, and related services
- Ability to accurately estimate repair costs and completion timelines
- Strong organizational skills with excellent attention to detail
- Goal-oriented mindset with a focus on productivity and service department performance
- Ability to properly use and understand scheduling and payroll applications
