The People & Talent Legal Coordinator supports organizational compliance with legal, regulatory, and internal policy requirements, with a specialized focus on employment-based immigration, legal document processing, and HR process improvement. This role serves as a key partner in managing immigration-related activities, supporting legal document requests, and driving operational efficiency across HR Shared Services. The position combines compliance expertise, analytical capabilities, and process optimization to support risk mitigation and service delivery.

- Immigration & Work Authorization Support:
- Support coordination and tracking of employment-based immigration cases (e.g., H-1B, J-1, TN, PERM/green card).
- Partner with internal teams and external counsel to manage timelines, documentation, and case activity.
- Maintain accurate case records and monitor visa expirations, renewals, and work authorization status.
- Assist with I-9 compliance and related regulatory processes.
- Legal & Compliance Support:
- Support intake, tracking, and coordination of subpoenas and employment-related legal requests.
- Ensure compliance with HIPAA, privacy regulations, and internal policies when handling sensitive information.
- Respond to internal and external compliance inquiries and documentation requests.
- Maintain audit-ready records and support regulatory compliance activities.
- Process Improvement & Operational Excellence:
- Identify opportunities to streamline and standardize HR Shared Services workflows, particularly in immigration and compliance processes.
- Support or lead process improvement initiatives to improve efficiency, turnaround times, and accuracy.
- Partner with HRIS/ServiceNow teams to enhance workflows, case routing, and reporting capabilities.
- Develop and maintain reporting, metrics, and dashboards to monitor performance and compliance outcomes.
- Perform special projects and additional duties as assigned to support People & Talent Operations and organizational compliance objectives.
- Core Compliance & Reporting:
- Conduct internal audits and support quality assurance initiatives.
- Prepare recurring compliance reports and track key metrics for leadership review.
- Manage compliance records, licensure tracking, and regulatory documentation.
- Collaborate cross-functionally with HR, Legal, Payroll, and operational teams.
Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Legal Studies, Healthcare Administration, or other related field required.
- Minimum 3 years of progressive HR experience with direct responsibility for employment based immigration and/or legal compliance processes, preferably in a healthcare or academic medical center setting.
