Starting Salary: The starting rate of pay is the minimum of the salary range. Exceptions to the starting rate of pay based on qualifications and/or experience that exceed the minimum qualifications may occur and require approval by the Director of People & Culture (HR) and/or Town Manager. The starting salary rate may not exceed the midpoint of the range $31.9214 ($66,396.20).

This position manages daily warehouse operations, surplus coordination/sales, inventory control and logistics, utilizing Just-in-Time (JIT) principles to minimize stock levels and associated inventory carrying costs. Emphasis of work is on oversight of inventory, receiving, surplus coordination/sales and clerical procurement tasks in accordance with Town policies and procedures.

This position assists Procurement Agents in the establishment of vendor profiles, assists the with annual renewal notices to contracted vendors, assists in the preparation of bids and solicitations through electronic e-bidding platform.

Key Responsibilities

  • Coordinates with respective internal stakeholders regarding reorder points for inventory to ensure adequate stock levels; maintains established inventory levels to meet operational needs.
  • Oversee unloading and receipt of supplies and materials; issues part, tools, materials and supplies to customers utilizing computerized platforms.
  • Coordinates inspection of materials received with respective department/division project lead.
  • Maintains efficient and proper storage of supplies and materials; organize space efficient for JIT flow; perform cycle counts throughout the fiscal year of all items maintained in the warehouse and and maintain system inventory accuracy.
  • Performs inventory analysis e.g. turnover, trend, pareto, economic order quantity (EOQ), etc.
  • Facilitates continuous review of parts movement focusing on low turnover items with the appropriate internal stakeholder for possible deletion or reduction of stock levels.
  • Receives materials through the Town's ERP Platform.
  • Follows-up on all late deliveries and/or damaged deliveries.
  • Serve as Vendor Liaison for relationships with suppliers for timely delivery and to address shipment issues for items related to inventory.
  • Coordinates all surplus sales and disposal of Town assets through online surplus auction site. Coordinates fixed asset disposition and the recording of new fixed assets.
  • Coordinates and maintains the disposition of all scrap metal for the town.
  • Assist the Procurement Agents with annual renewal notifications to existing vendors.
  • Assists procurement agents in establishment of vendor profiles.
  • Assists in the preparation of bid solicitations to assist procurement agents as required through automated e-bidding platform.
  • Obtains spot quotes to ensure order accuracy and accurate inventory cost accounting.
  • Coordinates with County Clerk and/or DMV for missing vehicle titles for potential sale of vehicle(s) to secure replacement title or when a new vehicle is purchased and the tag or title is not deliverable of the purchase order.
  • Monitors and prepares monthly reports on warehouse and surplus activities.
  • Prepares warehouse for annual physical inventory at year end; coordinates with Senior Procurement Agent who is responsible for inventory oversight and reporting of findings.
  • Operates a forklift, material handling devices, and hand trucks in a safe and proficient manner.
  • Performs deliveries and mail run three times a week to support Town operations at various locations.
  • Performs bank deposit for Finance as designated.

Minimum and Preferred Qualifications

  • Requires a high school diploma or GED equivalent.
  • Requires two-three years of experience in warehousing logistics
  • Certification to use forklift.
  • Active driver's license.
  • Ability to lift 50 pounds.
  • Ability to climb stairs.
  • Strong computer skills including excel, word and outlook.

Skills and Competencies

  • Considerable knowledge of warehousing and inventory control procedures.
  • Considerable knowledge of fasteners, fittings, and other generally stocked inventory items.
  • Considerable knowledge of the names and uses of common hand and shop tools.
  • Knowledge of computer operations, inventory management software, and report preparation procedures.
  • Must have the ability to evaluate the performance of subordinates, analyze weaknesses, and take corrective action or recommend discipline when necessary.
  • Ability to establish and maintain effective working relationships with associates, departmental officials, and the general public, both in person and over the phone.

This is a non-exempt position paid on an hourly basis which is eligible for overtime.
