Minimum Qualifications:
  • High school diploma or its equivalent
  • Two years of clerical or administrative job-related experience with the State of Florida
  • Experience creating requisition in MyFloridaMarketplace/Ariba

Preferences:
  • Experience organizing and tracking files
  • Experience running webinars
  • Experience managing contracts and/or grants

Duties and Responsibilities:
  • Assists in operations of the Division. Creates requisitions and manages purchase orders in MyFloridaMarketplace for the Division. Responsible for maintaining accurate files of all requisitions, purchase orders, contracts, and other financial and budget information. Ensures that invoices associated with purchase orders are sent to the Division of Administrative Services, creates contract summary forms for invoices, tracks payments on purchase orders. Tracks routine maintenance at the Division's properties to ensure that services are completed on schedule. Assists in the Division's property custodian duties as needed.
  • Coordinates administrative activities of the Director's Office and the Bureau of Historic Preservation. Routes forms for internal review. Ensures all mail is opened & distributed daily, office supplies are ordered in a timely manner and maintained in neat order, and other administrative functions for the Division as requested. Responsible for administration of office equipment maintenance; ordering and receiving supplies and furniture.
  • Assists with webinars, meeting preparation, and meeting conduct. Prepares and submits Florida Administrative Register legal announcements and other notices for Council/Committee/Division meetings. Acts as a webpage content publisher for the Division. Assists in posting on the Division's social media accounts. Assists in providing coverage for the Department of State front desk.
  • Assists in the management of Division's federal grants, including procurement, reporting, budget tracking, and participating in meetings with the National Park Service.
  • Performs other work-related duties as required.

Knowledge/Skills/Abilities:
  • Knowledge of office procedures and practices, creating requisitions in MyFloridaMarketplace, records retention practices, and standard office software.
