Our busy and growing Sellstate real estate office is seeking a reliable, detail-oriented Administrative Assistant to serve as the front desk professional and provide daily operational support to our agents and office leadership.
 
This position is ideal for someone who enjoys structured work, clear processes, supporting a team, and keeping things organized and running smoothly. If you take pride in being dependable, professional, and accurate, you’ll feel right at home here.
 
In addition to traditional administrative responsibilities, you will learn a few key technology platforms used by our agents and leadership, helping support adoption by answering questions, reinforcing workflows, and providing basic guidance as needed.

Responsibilities:
Front Desk &amp; Office Support
<ul>
<li>Answer phones on a multi-line system in a professional and friendly manner</li>
<li>Greet agents, clients, and visitors with a welcoming, helpful attitude</li>
<li>Maintain a polished, organized, and professional front office environment</li>
<li>Order, track, and manage office supplies</li>
</ul>
Agent Support &amp; Administration
<ul>
<li>Provide administrative support to agents as needed</li>
<li>Prepare agent onboarding paperwork and documentation</li>
<li>Create monthly reports and agent invoices</li>
<li>Prepare agent commission documentation and related materials</li>
</ul>
Compliance &amp; File Management
<ul>
<li>Review and monitor transaction files for accuracy and compliance</li>
<li>Maintain organized records and ensure documentation is complete and submitted on time</li>
</ul>
Technology &amp; Platform Support
<ul>
<li>Learn and become proficient in internal systems and third-party technology platforms</li>
<li>Assist agents with platform usage and basic troubleshooting (navigation, workflow steps, best practices)</li>
<li>Help train agents on established processes to ensure consistent adoption and compliance</li>
<li>Create and maintain simple checklists, guides, or reference materials as needed</li>
</ul>
Marketing &amp; Recruiting Support
<ul>
<li>Assist the Office Manager with office events, recruiting efforts, and special projects</li>
<li>Support agent recruiting initiatives and onboarding processes</li>
<li>Manage basic social media and print marketing materials (as needed)</li>
</ul>
Qualifications:
<ul>
<li>Prior experience in an office or administrative role</li>
<li>Real estate experience or knowledge is preferred (but not required)</li>
<li>Proficiency in Microsoft Word and Excel</li>
<li>Experience with BoldTrail, Dotloop, Canva, Google Workspace, or similar tools is a plus</li>
<li>Strong verbal and written communication skills</li>
<li>Highly dependable, punctual, trustworthy, and organized</li>
<li>Strong attention to detail with the ability to manage deadlines and multiple priorities</li>
<li>Comfortable learning new systems and explaining processes clearly to others</li>
</ul>
Requirements

<li>High School Diploma or equivalent</li>
<li>Strong computer and organizational skills</li>
<li>Ability to work in the office, Monday–Friday, 9 am-5 pm</li>
