Accounts Payable Specialist
 
Summary: Compiles and maintains accounts payable records by performing the following duties.
Essential Duties and Responsibilities: include the following. Other duties may be assigned.

<li>Audits payable invoices for accuracy, records receipt date on invoice, and codes GL distribution account.</li>
<li>Obtains approvals for payment of invoices. </li>
<li>Matches purchase orders (Spa and Golf Retail) with invoice and resolves discrepancies.</li>
<li>Answers vendor and internal staff inquiries.</li>
<li>Analyzes vendor accounts and suggest extended terms with vendors.</li>
<li>Enter and post vendor invoices into accounts payable system.</li>
<li>Prepares accounts payable checks, ACH and internet credit card payments noting time sensitive disbursements.</li>
<li>Updates weekly disbursement log.</li>
<li>Prints appropriate accounts payable reports.</li>
<li>Maximizes and promotes use of GlobalvCard (internet credit card).</li>
<li>Create/Monitor/Update internet credit card vendors.</li>
<li>Coordinates with other staff members for intercompany charges/billings.</li>
<li>Collects charges due from employees, i.e. FedEx charges.</li>
<li>Prepares analysis of accounts, as required.</li>
<li>Files paid invoices on a weekly basis.</li>
<li>Purges or archives inactive vendors from the database annually.</li>
<li>Obtains IRS Tax Form W-9 and maintains Certificate of Liability Insurance.</li>
<li>Create/maintain vendor accounts. Files Form 1099 and 1096 annually pursuant to IRS requirements.</li>
<li>Reconciles AP control account to Aging Report on a weekly basis and at month end.</li>
<li>Cross trains with accounts receivable to answer member inquires, post daily receipts and performs daily close.</li>
<li>Performs special projects, as necessary.</li>
<li>Shares responsibility with staff in retrieving mail daily.</li>
